Uniform order minimum quantity: Why suppliers set one, and how to reach it

A minimum order quantity reads like an arbitrary barrier when you need 30 pieces and the supplier’s minimum is 50. It isn’t arbitrary — it’s the point below which the economics of a production run stop working for either side.

Why the minimum exists

Setting up a production run costs roughly the same whether the run is for 30 pieces or 300: cutting the pattern, sourcing the exact fabric lot, colour-matching, and setting the sewing line all happen once regardless of quantity. Below a certain volume, that setup cost dominates the per-piece price, and the order stops being viable at a fair rate for either the buyer or the manufacturer. The minimum is the point where the setup cost has spread thin enough that per-piece pricing makes sense.

This is different from a retail markup. A manufacturer running below their real minimum either loses money on the order or quietly cuts corners (a worse fabric substitution, skipped quality checks) to make the economics work — neither is a good outcome for the buyer.

How the minimum actually works

A minimum order quantity is usually per order, not per size or per garment. A 50-piece minimum typically means:

  • 50 pieces total across your specified sizes, not 50 of one size. A mixed size run (S, M, L, XL in proportion to your actual staff sizes) counts toward the same minimum as a single-size order.
  • 50 pieces across combined garment types is sometimes allowed, sometimes not — this varies by supplier and depends on whether the garments share a production line. Ask directly rather than assuming.
  • Colour or branding variants inside one order usually still count toward one minimum, provided they’re the same base garment and fabric.

How to reach the minimum if your actual need is smaller

Combine departments or roles on one order. A single department needing 20 pieces can often be combined with another department’s order on the same purchase order, reaching the minimum together even though neither alone would.

Combine garment types from the same programme. If you need 20 formal shirts and 20 branded polos, ask whether these count toward one combined minimum rather than needing 50 of each separately.

Order ahead for near-term hiring. If you’re issuing uniforms to 30 current staff but expect to hire 15-20 more within the specification’s shelf life, ordering the projected total in one run is often cheaper than two separate orders, one of which falls below minimum.

Ask what a below-minimum order actually costs. Some suppliers will still fulfil a smaller order at a higher per-piece rate rather than refuse it outright — worth asking directly what the number is, so you can compare it against waiting to combine with a future order.

What to check before committing to a supplier’s minimum

  • Whether the minimum is per order, per size, or per garment type — get this in writing, not assumed.
  • Whether mixed garment types on one programme count toward one combined minimum.
  • The reorder minimum, which is sometimes lower than the first-order minimum once your specification and size file are already on record.

How we handle minimum orders

Our minimum is 50 pieces per order, combinable across sizes, roles, and — for most programmes — garment types on the same purchase order. Reorders against an existing specification and size file are often reachable in smaller batches than the first order, since the setup work is already done.

If you’re not sure whether your requirement reaches our minimum, the form below reaches our sales team directly — tell us what you need, and we’ll tell you plainly whether it fits or how to combine it so it does.
