Staff uniform policy: What a written policy should actually cover

Most companies issue uniforms before they write a policy for them, and the policy only gets written after a dispute: a departing employee who doesn’t return the uniform, a replacement request nobody can approve without a precedent, or a GST audit question nobody on the finance side can answer cleanly. A short written policy, fixed before the first bulk order, prevents all three.

This is for HR and procurement teams issuing staff uniforms in bulk who don’t yet have this documented, or are revising an informal one.

What the policy needs to cover

Ownership. State plainly that the uniform remains company property, issued for work use, not sold or gifted to the employee. This single line is also a precondition for the company’s GST input tax credit on the purchase — see below.

Issue quantity. How many sets per employee, and whether that number differs by role. Two sets per person (so one is always in the wash) is the common baseline for daily-wear roles.

Replacement cycle. A fixed interval (commonly annual for shirts and trousers) rather than replacement on request, with a documented exception process for genuine damage before the cycle is due.

Personal-use restriction. State that the uniform is for work use only, not everyday personal wear. This is not just a dress-code preference — it directly affects whether the company can claim GST input tax credit on the purchase.

Laundering responsibility. Whether the company or the employee is responsible for cleaning, and if the company provides laundering, how that’s tracked.

Exit process. The uniform is returned or accounted for when an employee leaves, with a clear process for who checks this and what happens if it isn’t returned.

Why this affects your GST input tax credit

This is the part finance teams often don’t connect to HR policy, but the two are directly linked. GST input tax credit on employee uniforms is conditional, not automatic: the company must bear the full cost (not recover it from employee salary), the uniform needs a genuine business nexus, and — this is the part a written policy actually proves — personal use must be restricted and the company must retain ownership. A verbal understanding that “the uniform is for work” doesn’t hold up the same way a signed policy document does if the claim is ever questioned. If you’re also working through the income-tax and GST-side questions on uniform purchases in more detail, this covers the three separate tax questions that get conflated most often.

Keep it to one page per role category

A policy that tries to cover every role in one document gets vague. Write one short section per category — office staff, factory floor, customer-facing roles — each stating issue quantity, replacement cycle, and any role-specific rule (a factory-floor policy needs a line about damaged PPE replacement outside the normal cycle; an office policy doesn’t).

How we support your uniform policy

When we supply staff uniforms in bulk, we hold the issue record, colour reference, and size file against your account, which is exactly the documentation a written policy needs to point to — from 50 pieces per order.

  • Issue and reorder records held against your account, matching your policy’s replacement cycle.
  • Consistent colour and fabric lot across reorders, so a policy that specifies “the approved uniform” stays accurate year over year.
  • Documentation supplied in a format that supports your procurement and audit process.

If you’re writing or revising a staff uniform policy and sizing the order behind it, the form below reaches our sales team.
